Npvision Group A/S is, in accordance with the Data Protection Regulation (EU Regulation 2016/679) and the Danish Data Protection Act, required to protect personal data about customers, suppliers, partners, employees and other natural persons that is processed.

In this Personal Data Policy, you can read more about how we process personal data in general and on what principles processing takes place in cases where we are entrusted to process personal data.

We also explain the types of data we collect, how we process it, and what rights you have if, or when, we process data about you.

We greatly prioritise correct and legal processing of personal data. It is vital to us that you can trust that your data is processed in a safe and legal manner.

Who is the personal data policy for?
Our Personal Data Policy is a source of information for everyone we process personal data for.

At the same time, our Personal Data Policy is an addition to our internal guidelines, which apply to all our employees.

Our fundamental processing principles
Npvision Group A/S processes personal data to the extent that it is required to fulfil the company’s role as supplier and processor of new and used IT infrastructure.

Our processing of personal data is done in a lawful and fair manner and in full accordance with the rights of data subjects.

The personal information we process must be accurate and must be updated and corrected in case of changes and incorrect personal data.

Our processing of personal data is time limited (see the section concerning deletion).

All processing of personal data is considered confidential. Npvision Group A/S can guarantee that our employees understand that the processing of personal data must be done in confidence and in accordance with the General Data Protection Regulation.

Our basic principles for the processing of personal data are:
» Everyone whose personal data we process must feel secure in our processing of their data
» We will define a legitimate aim before we begin processing personal data
» We have a setup, so that our processing is in accordance with the General Data Protection Regulation and the Danish Data Protection Act.

Processing activities
As a data controller, we process a range of data, including personnel administration, implementation of customer cooperation and supplier cooperation, as well as marketing activities.

We maintain internal records of our processing activities.

We inform our employees internally about our processing of personal data about them.

Customer cooperation
We collect and process personal data which is necessary to be able to cooperate with our customers. We strive to only collect the information that is necessary to cooperate, including fulfilling our obligations.

In connection with customer cooperation we typically collect and process personal data, such as names, addresses, telephone numbers, e-mail addresses and similar contact details for the customer’s owners and contact persons. Personal data is collected using our internal IT system and is stored in our customer database.

Also included in our database are details that are exchanged with us, such as e-mail correspondence, telephone notes, post, etc.

The processing of such personal data is necessary to pursue our legitimate interests in relation to the administration of our business and meeting commitments to customers.

Suppliers and other cooperative partners
We collect and process personal data which is necessary to be able to cooperate with our suppliers and other cooperative partners. We endeavour to only collect the information necessary to cooperate, primarily to fulfil our commitments and to safeguard our interests in relation to the processing and sale of IT equipment and provision of services.

With regard to suppliers and other cooperative partners, we typically only gather and process general personal data such as names, addresses, telephone numbers, email addresses and corresponding contact information for relevant contacts.

Also included in our database are details that are exchanged with us, such as e-mail correspondence, telephone notes, post, etc.

The processing of such personal data is necessary to pursue our legitimate interests in relation to the administration of our business and our general business operations.

Marketing activities
We collect and process personal data in connection with our marketing activities. We strive to ensure that we only collect the personal data which is necessary to be able to achieve the marketing objectives that we have defined.

Our general marketing activities include, among others, sending out news briefings and the use of cookies on the website.

For our news briefing we have established separate terms, just as we have a cookie policy on our website.

Where do we collect data from?
The personal data we collect and process is obtained from the registered persons themselves or their employer in the case of a supply contract with a company.

Disclosure of personal data
Depending on which personal data is involved, the purpose of processing and the context of the personal data, we may disclose personal data to third parties, including public bodies such as a municipality or SKAT.

If personal data is processed as part of a delivery or cooperative agreement with a company, then details about the company’s employees will be disclosed to the company.

To a certain extent, we also share personal data with suppliers when necessary to fulfil the purpose of the cooperation.

We ensure that when disclosing personal data we have the necessary processing basis for disclosure.

Security of processing
We ensure confidentiality, integrity and the availability of personal data we process through technical and organisational security measures.

Our technical security measures include the security of the IT support we use in our business. Our organisational security measures include guidelines which we have established and policies that our employees must comply with. We follow up on this, and we train our employees to an appropriate extent.

Our security in processing personal data includes ensuring that processing is done lawfully and that we adhere to the processing principles stipulated in the General Data Protection Regulation, as well as ensuring that we have a basis for carrying out our data processing.

Deletion
The personal data we collect and process will be deleted when the objective for our processing of the data has been completed, and we therefore no longer need the information.

Data subject rights
The persons whose personal data we process have a number of rights in accordance with the General Data Protection Regulation, and we respect these rights. The rights include:

The right to receive information concerning the processing of personal data
You have the right to receive information about what data we process about you, and for what purposes, whom we share data with, etc. You will generally receive this information when we collect the data, or when we contact you for the first time.

Your right to know
You have the right to know whether we process data about you, and in such a case, what information we specifically process.

The right to correction or deletion
You have the right to have inaccurate information about you rectified (corrected). This also includes, in some situations, having the data we have registered about you supplemented.

In some situations, you also have the right to have the data we process about you deleted, before the time when we would ordinarily delete the information as per our ordinary deletion procedures.

The right to have limited processing of data
In some situations, you have the right to limit our processing of your personal data. In particular, if you believe the processing is unlawful, or if you dispute the accuracy of the data.

The right to obtain information about yourself (data portability)
In some situations, you have the right to have information about yourself, handed over to you in a structured form and in a commonly readable format. It is called the right to data portability.

The right to object to processing
You have the right to object to our processing of your data. If this is the case, then we may only process the data if we can demonstrate compelling legitimate grounds for processing the data that prevail over your interests.

The right to revoke consent
If we process data about you based on your consent, then you are free to revoke said consent at any time. Should you revoke your consent, we will not process your data in the future, unless we are permitted to continue processing your data based on another reason. This could, for example, be because we are obliged to do so, or because we have an agreement with you that we must fulfil.
